Setting up
Everything happens in the WarmReply page inside your CRM (left sidebar after installing). The wizard walks through five steps: confirm the CRM connection, add your Yelp page links, connect Zapier, send yourself a test lead, and optionally switch on the instant greeting. Expect about 15 minutes.
Common problems
Leads aren't arriving in my CRM
- Check that Zaps A1 (New Lead) and A2 (New Consumer Message) are switched on in Zapier.
- In each Zap's WarmReply step, the Raw Event field must be mapped to the trigger's full Step Output, and the Event Type must match that Zap's trigger.
- Use “Send myself a test lead” in the wizard — if the test lead appears but real leads don't, the problem is on the Zapier/Yelp side, not in your CRM connection.
- Yelp doesn't always create a new lead when the same person contacts the same business again — a repeat request from an existing conversation may not fire a new lead.
My replies aren't reaching the customer on Yelp
- Zap B (WarmReply “Reply Ready” → Yelp Leads “Create Message”) must be on. The wizard's Zapier step shows a green badge when we can see it.
- If you manage Yelp pages under more than one Yelp login, every Zap B must have its “Yelp Business” field set to a specific page.
- Failed replies are shown with the reason in the wizard's test step, and marked failed on the message inside your CRM — they are never silently dropped.
The greeting sent a blank business name
Fill in “Your business name” on the greeting step — that's what {{business_name}} uses.
The editor shows a live preview of exactly what a lead will receive.
My account token leaked
Generate a new one in the wizard's last step (Danger zone), then paste it into each of your Zapier connections. The old token stops working immediately.
I want my data deleted
Uninstall WarmReply from your CRM (this stops all processing immediately), then email [email protected] if you also want your stored data removed before the automatic schedule described in our Privacy Policy.
