Frequently asked questions

Every question we get about running Yelp leads through HighLevel (GoHighLevel), answered plainly.

Getting started

Does WarmReply work with GoHighLevel, Go High Level, GHL?

Yes, they are all the same platform. HighLevel, GoHighLevel, Go High Level and GHL are different names people use for the CRM WarmReply is built for. If your business or agency runs on any of them, including a white-labeled version, WarmReply installs from the marketplace and Yelp leads appear in your Conversations.

Do I need Yelp Ads for this to work?

No. Any claimed Yelp business page with Request-a-Quote enabled works: WarmReply syncs the lead conversations, no ad spend required.

How long does setup take?

About 15 minutes, self-serve. Install from the HighLevel marketplace, follow the guided steps, and send yourself a test lead at the end to confirm it works. No developers, no CSV files, no waiting for onboarding calls.

Does my team need to learn anything new?

No. Yelp conversations appear in the same Conversations screen your team already uses, on a channel called Yelp. They reply the way they reply to anything else, and it reaches the customer on Yelp.

Can I try it first?

Yes — there is a 14-day free trial with the whole product switched on, and setup takes about fifteen minutes, so you will know inside the first day whether it does what you need.

How it works day to day

Do my replies really reach the customer on Yelp?

Yes. Replies you send from HighLevel Conversations are delivered into the same Yelp thread the customer already has open, from your business.

Can I see messages sent directly from Yelp to my customers in the same conversation history in GoHighLevel?

Yes. If someone on your team answers a customer from the Yelp app or Yelp website instead of the CRM, that reply appears in the same conversation in HighLevel, marked “via Yelp app” with the name of the teammate who sent it — it is the recommended fifth connection in the setup checklist, included in every plan. The thread stays complete no matter where your team answers from.

How fast does a lead reach my CRM?

Usually within a minute of Yelp sending it, though the first leg belongs to Zapier and its timing is theirs, not ours. If a reply fails on the way to Yelp we keep it and retry it rather than dropping it, and the failure is marked on the message itself with the reason. A lead that fails on the way in is retried automatically too; the rare case we cannot retry safely is flagged to us and we contact you.

What happens to the Yelp conversations I already have?

They stay in Yelp and are not imported. WarmReply starts with the next lead or the next message after you connect. If an existing customer sends you a new message, that message arrives in your CRM and the conversation continues there from that point.

Can I use my CRM's automations on these leads?

Partly, and this is worth understanding before you buy. Yelp leads become normal contacts with tags and custom fields, so workflows can trigger on them, tag them, assign them, create opportunities and send email or SMS. What a workflow cannot do is send a reply back through Yelp, because HighLevel does not allow its standard messaging actions to send through a custom channel like ours. Replies to Yelp are sent by a person from the conversation, or by our instant greeting.

What does 'instant greeting' send?

A template you control, with merge fields like the customer's first name, job type, and ZIP. It goes out seconds after a new lead arrives, so you're first to respond even when your team is on a job. It's optional and off by default.

I have multiple Yelp locations. Is that supported?

Yes, and you can connect as many pages as you like. Unlimited Yelp pages are included, so locations cost you nothing extra. Every conversation is tagged with its Yelp page and replies route back to that page. If your pages sit under several different Yelp logins, the setup wizard walks you through the extra step that needs.

I am an agency with many sub-accounts. Does that work?

Yes. Install once at agency level and every sub-account you choose is set up at once, each with its own connection. Pricing is per sub-account, and HighLevel lets you resell it to your clients at your own price.

How do I know if something breaks?

The WarmReply page in your CRM shows whether leads are arriving and whether the reply connection is set up, and a reply that fails is marked as failed on the message itself with the reason. We also run automated checks against our own CRM connection several times a day and get alerted when it breaks. Those checks deliberately never touch Yelp or your Zaps. We will not send test traffic through your Yelp page, so the parts we watch are ours, not yours.

Money, data and risk

Is Zapier involved?

Yes. WarmReply uses Yelp's official Zapier integration as the transport, set up once during the guided steps. The Zapier side is currently free at any volume: Yelp covers all Zapier task costs for workflows that use its Yelp Leads integration — 500,000 free tasks a month on any Zapier plan, including the free one, with no planned end date. So a free Zapier account is all you need. It is Yelp's promotion rather than ours; if it ever ends, Zapier's normal per-action billing would return, and 'What it really costs' above keeps the honest numbers for that case.

Can you read my customers' messages?

We process them to deliver them, which is the whole job. We do not sell data, do not use conversations for advertising, and do not train AI on them. Delivered reply texts are removed from our database shortly after delivery, and the raw lead data Yelp sends is deleted after 30 days. The full detail is in our Privacy Policy.

What happens if I cancel?

Cancel any time from the HighLevel marketplace. Billing stops at the end of the paid period and syncing stops with it. Conversations already in your CRM stay in your CRM; they are yours. Ask us and we will delete your data from our side.
