Yelp Response Time and Response Rate: How Yelp Calculates Them and How to Improve Both

October 26, 2026 · by Arsen, founder of WarmReply

Yelp shows two numbers to every customer deciding whether to message you: your response time and your response rate. Both are calculated from the last 30 days of new messages, and both can be improved with habits rather than budget. Here is how Yelp works them out, according to Yelp’s own help center, and what actually moves them.

How does Yelp calculate response time?

Yelp’s definition: your response time is the median time you took to respond to new messages in the last 30 days, not counting after hours, which Yelp defines as 6pm to 8am. That applies every day of the week, weekends included.

Three things follow from that definition:

How does Yelp calculate response rate?

Your response rate is the percentage of new messages you responded to in the last 30 days. Messages that have only just arrived are left out, so a request from five minutes ago doesn’t count as unanswered yet.

The detail most businesses miss: if you answered a customer some other way, for example by calling them, Yelp says you should still mark the message as replied in Yelp right away. If you don’t, Yelp has no way to know you responded, and your rate drops for a conversation you actually handled.

Why do these two numbers matter?

Because customers see them before they decide who to contact. Yelp says it shows response time and response rate “to communicate how quickly and consistently you respond to messages”, and its own guidance for pros is blunt about the effect of speed: customers are 2x more likely to respond when a pro replies within an hour and addresses the project details, and they are more likely to pick a business with a 20-minute response time than one with three hours.

So a slow response time costs you twice. Once on the lead in front of you, and again on every future customer who reads the number and messages someone faster instead.

How do you improve your Yelp response time?

  1. Answer the first message fast, even if the full quote takes longer. Response time measures the first reply. A real, specific first message within minutes (“Thanks Dana, we got your request for a two-bedroom move on the 14th, I’ll send pricing within the hour”) counts, and it keeps the customer from moving on while you work out the price.
  2. Put Yelp messages where your team already works. Most slow replies are not laziness. They happen because the Yelp app is one more inbox nobody is watching. If your team lives in a CRM, Yelp leads should arrive there, next to every other lead.
  3. Use an instant greeting for the gap. A short message written by you, sent automatically within seconds of every new lead, makes the first reply fast every time, including the times nobody is at a desk. Then a person follows up with the real answer.
  4. Watch the morning backlog. Everything that arrived overnight starts its clock at 8am. Clearing those first thing is the easiest response-time win most businesses have.

How do you improve your Yelp response rate?

  1. Reply to everything, including the leads you will decline. A polite “we don’t serve that area, sorry” still counts as a response. Ignoring out-of-scope requests is the most common way a good business ends up with a mediocre rate.
  2. Mark phone and in-person replies as replied. If you called the customer back, tell Yelp. Otherwise your rate says you didn’t answer.
  3. Make sure every Yelp page is covered. Multi-location businesses often have one page that nobody checks. Each page has its own numbers.

Where WarmReply fits

WarmReply puts Yelp Request-a-Quote conversations inside HighLevel (GoHighLevel) Conversations, so your team answers Yelp from the CRM it already uses, and replies are delivered back into the customer’s Yelp thread. The optional instant greeting goes out within seconds of every new lead, on every Yelp page in the sub-account.
