Case Study: How a Moving Company Answers Every Yelp Lead Within Seconds from HighLevel
October 26, 2026 · by Arsen, founder of WarmReply
This is the story of the first business to run WarmReply every day: a moving company with several locations, each with its own Yelp page, and a sales team that already worked every other lead in HighLevel (GoHighLevel). We are keeping the company anonymous, so it is simply “the moving company” here. The numbers are real, taken from our own delivery records for the first eight weeks.
The problem: Yelp was the inbox nobody lived in
Moving jobs are decided fast. A customer planning a move sends a Request a Quote to several companies, and books one of the first that comes back with real dates and a real rate. Yelp says customers are 2x more likely to respond when a business replies within an hour and addresses the project details.
The moving company’s team did its work in HighLevel: pipeline, calendar, follow-ups, every other lead source. Yelp quote requests lived somewhere else, in the Yelp app and email notifications, spread across several Yelp pages. They were the leads most likely to wait, and the slowest ones to show up in the pipeline.
What they set up
- Every Yelp page connected to one HighLevel sub-account. Each conversation is labeled with the location it came from, and replies go back to the right page.
- Yelp leads arrive in HighLevel Conversations as normal contacts with the project details Yelp collected: service type, move size, ZIP codes, dates, floors and special items.
- An instant greeting on every new lead, written by the company and tailored to the service the customer asked for (moving, packing, storage), so the first reply never waits for someone to be at a desk.
- Replies from wherever the team is. Agents reply from HighLevel and the message lands in the customer’s Yelp thread. If someone answers from the Yelp app instead, that reply syncs back into the same HighLevel conversation, so the thread is always complete.
- Phone numbers attached automatically. When a customer chooses to share a phone number on Yelp, it is added to the contact in HighLevel, so the team can call or text from the CRM.
The results after eight weeks
| Yelp lead conversations handled in HighLevel | 150+ |
| Brand-new leads | 142, every one greeted |
| Instant greetings delivered | 142 of 142 |
| Time from quote request to greeting | median 14 seconds, 90% within 23 seconds |
| Team replies sent from HighLevel | 63 |
| Replies confirmed by Yelp as received in the thread | 46 of 48 measured |
| Phone numbers added to contacts automatically | 55 |
A few notes on how these were measured. Greeting speed is the time from the moment Yelp created the lead to the moment the greeting was sent, measured on the 66 leads where Yelp’s creation time was still on record. “Confirmed by Yelp” means Yelp’s own feed echoed the reply back into the thread, which is a stronger signal than a sent status. Confirmation tracking started a few weeks in, so it covers 48 of the 63 replies.
The headline is the first one that matters to a customer: every new Yelp lead got a reply in its own thread within seconds, at any hour, on every location’s page. A person then took over with the actual quote from the CRM, with the customer’s details in front of them.
What changed for the team
One inbox. Yelp leads stopped being a separate app to check. They sit in HighLevel Conversations next to every other lead, with the same tags, assignment and pipeline.
First, every time. The greeting means the company is never the fourth reply a customer sees. Its team then answers from the CRM with the details already in front of them.
Nothing lost between locations. With several Yelp pages, the page nobody checks is where leads go cold. Every page now feeds the same inbox, labeled.
What we learned building it with them
Running real leads every day surfaced details no test account would have. Yelp quietly rewrites some text, for example turning curly quotes and long dashes into plain characters and wrapping phone numbers in links. Some leads reopen years later when a past customer writes again. Each of those became a fix in the product, which is why WarmReply’s handling of Yelp threads is as careful as it is today.
