Can HighLevel Workflows Reply to Yelp Leads?
August 29, 2026 · the WarmReply team
No, a HighLevel workflow cannot send a reply through the Yelp channel on a Yelp Request a Quote lead, even with WarmReply installed. Workflows can tag a contact, assign it to a team member, send a notification, create an opportunity, or fire off an email or SMS, but HighLevel doesn’t allow standard messaging actions on a custom channel like Yelp. A Yelp reply has to come from a person typing in the conversation, or from WarmReply’s optional instant greeting.
Why can’t a workflow just send the Yelp reply directly?
Because Yelp isn’t a native HighLevel channel the way SMS or email are — it’s a custom channel, and HighLevel’s workflow actions for sending messages are built around its native channel types. That’s a platform-level restriction, not something WarmReply chose to leave out. It means any automation idea that starts with “when a Yelp lead comes in, automatically send them a message via workflow” runs into a wall that isn’t about configuration, the action doesn’t exist for this channel type.
What can a workflow actually do with a new Yelp lead, then?
Plenty, just not the reply itself. A workflow can watch for the new contact or conversation WarmReply creates and, from there, tag it by job type, assign it to whichever team member handles that kind of work, notify someone by internal alert, create an opportunity in a pipeline so it shows up in reporting, or send an email or SMS on a completely separate channel — none of which touches the Yelp thread itself. All of that runs on the custom fields WarmReply attaches to the contact: job type, location or ZIP, requested dates, and the customer’s own words, which is enough structure to route and prioritize a lead automatically even though nothing can auto-reply on Yelp.
Then what does send the actual reply on Yelp?
Two things. First, a person, typing directly into the HighLevel conversation the same way they’d reply to any other lead — WarmReply delivers that reply back into the original Yelp thread, and Yelp confirms the delivery. If a reply fails to send, it’s marked on the message with the reason and retried, rather than silently disappearing. Second, WarmReply’s optional instant greeting: an owner-written message with merge fields for first name, business name, job type, and requested dates, sent automatically once per new lead within seconds of it arriving. That’s the one form of “automated Yelp reply” that exists in this system, and it’s explicitly limited to a single greeting, not an ongoing conversation.
Is the instant greeting basically a workaround for the workflow limitation?
Not really a workaround, it’s a different mechanism built for a narrower job. A workflow action would, in principle, let you build arbitrarily complex logic; the instant greeting is a fixed, one-time message per lead with a small set of merge fields, written once during setup. It solves the specific problem of an immediate acknowledgment — worth remembering Yelp’s data that customers are twice as likely to respond when a business replies within an hour, without pretending to be a full conversational bot replying on Yelp indefinitely.
What should you build workflows for instead, on Yelp leads?
Anything downstream of the lead landing, rather than anything that requires talking back through Yelp itself: routing by job type or location, alerting the right person fast (which matters more than automating the reply itself, since a fast human reply is what actually moves the response-rate needle), and reporting on lead volume and job types over time. The reply itself stays a conversation between your team and the customer, running through HighLevel Conversations and syncing back to Yelp.
